Congratulations on being accepted to the Pensacola Maker Faire.

The Maker Tool Kit is your resource center for ACCEPTED MAKERS, SPONSORS AND VENDORS ONLY. It is designed to guide you through all the elements of exhibiting at the 2023 Pensacola Maker Faire.

  1. Check the Maker List for your name and your stage/venue assignment. You will need this later. Load in instructions are based on location assignment and will be published on Nov 2.
  2. Verify your category is correct (demo/workshop/performance/talk)
  3. Make a note of your stage/venue, there are different load in instructions for each building.
  4. Review payment categories below.

If you are not listed, or the info on your listing is incorrect please contact us asap.
Any changes to your entry after October 10 must be sent to us directly via email.

NO WALK UPS ALLOWED.
MAKERS MUST GO THRU THE APPLICATION PROCESS AND BE ACCEPTED IN ADVANCE. DEADLINE: OCTOBER 15, 2023. After this date, Makers will be accepted based on space.

ALL MAKERS MUST CHECK IN WHEN THEY ARRIVE TO SET UP. CHECK-IN TIMES ARE BASED ON YOUR BUILDING ASSIGNMENT. CHECK SCHEDULE FOR BLDG ASSIGNMENT.

**Vehicle entrance for Makers is at the corner of Government and S. Tarragona Streets, you will see a Pensacola Maker Faire check-in tent also – no cars will be allowed to enter at any other point. All cars must be moved by 9:30 am.

TRUCKS / TRAILER-STYLE EXHIBITS SHOULD SET UP FRIDAY OR PARK THURSDAY. Call Michelle to set up the time 850-232-2169.

YOU MAY DROP OFF YOUR ITEMS/EXHIBIT ON FRIDAY 10-2  AT THE BOWDEN BUILDING AND COME BACK AND SET UP SAT AM.  Make sure your items are clearly labeled. Leave at your own risk.

Check in location Voices Building on Government Street, across from Seville between  10 – 2
Anyone can drop off items on Friday BEFORE 2 only and then come back Saturday to set up.

If you are assigned to the Voices Building or Bowden you can set up your entire display on Friday between 10-2. 

Makers with trucks and trailers are encouraged to bring their vehicles in either Thursday or Friday – it will be difficult to Park on Saturday , there is a Parade. Call Michelle to schedule a time 850-232-2169.

  • SEPTEMBER 15 — Applications due. Late applications will be accepted and are reviewed as space allows.
  • October 15 — For exhibits with fire and/or safety concerns: submit a General Safety Plan and/or Fire Safety Plan.
  • October 15 – Safety plans / Fire plans due to our office for final review by the Fire Marshall.
  • November 1 – Verify your type of exhibit is correct – see below for descriptions of workshop/demo/performance
  • November 5 — Maker venue locations will be assigned. Check the schedule page to see where your booth is located.
  • November 1 — Commercial Maker and Non-Profit / Agency / Cause or Mission Based Organization Payments Due. This is only for makers who fit these categories. If you are a Non-Profit, Agency, Cause or Mission Based Organization, please fill out this Information Form.
  • November 1 – COI must be submitted for any exhibit that requires a Safety/Fire Plan.
  • November 1 – All Makers and their team members should register for tickets on Tickets / Merch / Kick Off Party / Donate
  • November 1 – All payments must be submitted for commercial Makers and sponsors – invoices will be sent on October 23
  • November 1o – Load in for Voices, Bowden Buildings ( 10 am – 2 pm) – Museum of Commerce from 10 -2
  • November 11 – Load in for Museum Plaza and surrounding streets (7 am – 9:30 am) – see above – any maker is welcome to load in on Saturday morning.

All Makers Must Register on TicketLeap

Pensacola Maker Faire is free for all to attend, however we need you to register.

Each maker should register individually, when you register you have the option to add free tickets for your family.

This allows us to get an accurate headcount for planning. Registration also allows us to communicate with all attendees via email if there were to be any major changes or emergencies. 

Please share our Ticketleap link with your fans, friends and fellow makers too!  An accurate headcount also helps us to apply for grants and sponsorships in future years.

Types of Maker Categories - Please verify it is correct on the schedule - READ ALL

WORKSHOP:

The Maker will have a hands-on activity at your exhibit.
You will provide supplies and instruction for people to actually Make something at your booth.

Demonstrations: could be any of these options
The Maker will showcase a project they have made, the project will be on display or presented via video
The Maker will demonstrate how to do something.  You will have limited supplies on hand for people to make something

DEMONSTRATION:

The Maker will be showcasing a project. Could be a physical or digital display.

PERFORMANCE:

The Maker will have a schedule performance. It will be published on the schedule. Stage can be used or another space within the site.

TALK:

Scheduled speakers. This can take place on stage or at your booth.

Types of Makers/Booths +  2022 Fee Schedule

  • Student Makers (elementary to University):    FREE even if selling
  • Makers not selling items, who are providing a demo, performance or workshop:  FREE
  • A Maker who is selling their products and has NO demonstration or workshop:   Fee: $75
  • A Maker who is selling their products and also has a hands-on activity or demo:  FREE
  • Businesses who are promoting their product or service:   Fee $125 and up depending on size of space
  • Non-profit who is selling their product: Fee:   $75 for standard space
  • Non-Profits / Agency and Cause or Mission Based Associations, Institutions and Organizations: FREE
  • Sponsors: Fee based on activation
  • Other – categories will be considered individually

Pensacola Maker Faire does not provide expense reimbursement or cover any costs for Makers to be in the Faire. Participate at your own expense. 

What you provide, What we provide

PMF provides:

1 – 6′ table and 2 chairs for each Maker space IF REQUESTED in advance.
Electricity must be requested in advance. Electricity is limited.  Provide your own extension cords, 50′ – 100′ minimum outdoor grade, you must bring something to cover cords.
Late registrations may not be able to have electricity – verify with organizers.
Limited WiFi is available inside the buildings. We do not guarantee it will be strong enough for your exhibit. If your exhibit requires it you should provide your own hotspot.
Water – Access is available, but limited to specific areas. You must bring your own hose.

 

Makers Provide:

Exhibit decorations: table cloths and all materials needed for their activity.

Tents with weights or sand bags (You cannot stake tents in the park.) Any tent over 10×10 requires a city permit that you must provide.

WiFi – is available in Voices, Bowden and Museum of Commerce.  There is no wifi in the Museum park or outside.

Electrical -Limited electricity is available. Provide your own extension cords, 50′ minimum outdoor grade.

Makers are required to check in when they arrive on-site.

The event is free to attend so there are technically no gates or entrances to worry about.

Parking passes will not be issued.

No smoking. No Dogs.

Security - After Hours

Yes, we will have overnight security on Friday Night, Nov 11.
Pensacola Police will be onsite Friday night from 6pm to 6am Saturday.

Directions and Parking

The event will be located downtown in the Pensacola Historic District at the link below.

You may park anywhere downtown and around the event, as long as it is suitable for your vehicle type and following parking regulations.

A few streets are closed so access is limited.

Vehicles are allowed inside only during specific times.

Set Up and Load In Process - Subject to change before Nov 6

This is a guide – we are still working out some details, we don’t expect it to change much.
Note: This is Foo Foo Fest Weekend so there are several events going on downtown. Specifically there is a 5k run right around our event from 7 – 9 am. Be advised some streets may be closed temporarily. You can drive into the site at Govt and S Tarragona Streets.

YOU CAN DROP ITEMS OFF TO STORE INSIDE VOICES ON FRIDAY FOR A SATURDAY SET UP. THIS WAY, YOU CAN JUST PARK AND WALK IN TO SET UP SATURDAY.

BOWDEN BUILDING – ROOMS 1 AND 2:
Friday:  Storage only
Saturday: no events inside on Saturday

MUSEUM OF COMMERCE:
Friday – 10 – 2
Saturday – 7 am to 9:30 am

MUSEUM PLAZA – PARK AND STREETS
Thursday – No security.
Friday: no load in unless pre-arranged
Saturday: 7:30 to 9:30 am

TRUCK AND TRAILER EXHIBITS:
If you can park on Tarragona or Church Thursday or Friday let us know. We can reposition Saturday morning.  Contact Michelle Sarra 850-232-2169.

FOOD VENDORS:

*We strongly recommend that you setup on Friday, November 11.
*All vehicles must be offsite by Saturday at 9:30 am.

 

Food Vendors Only

Your drop off entrance is on Church Street at Jefferson Street.
Parking is allowed on East side of Church Street.
Bring a hand truck.

Check In Process

Check in at the table inside the Voices building.

Load Out - Saturday 4 - 7 pm

Makers are responsible to tear down their own booths and return the tables to the MOC building.
Please bring carts, hand trucks etc. if you will need them.

The streets are only closed until 5 pm – for a short time you will be able to pull up close to the site to load up your booth between 4p and 5p
